Submission Guidelines
This form must be completed by a UC Merced faculty member or budget approver (RA). Submissions from non-UC Merced personnel may be delayed or canceled.
Timely submission is critical, as SSHA coordinates with financial offices and Payroll Services to process appointments. The processing of appointments timeline is six weeks prior to the payroll deadline. Late submissions may result in delayed payments to graduate students.
Submit as much information as possible, even if some details are pending. Use the comments field to provide additional notes or context.
Required Appointment Information
- Graduate student name
- Chart of Accounts (COA)
- Percentage FTE (25% or 50%)
- Salary point (See Table 22 at the UCOP website)
- Dates of employment
- General duties
- Faculty PI (faculty supervisor; responsible for approving timesheets)
- Budget Approver (RA)
- List ssha.financials@ucmerced.edu unless the funding source is an external grant with a designated RA.
After submission, a SSHA Graduate Services coordinator will follow up with salary details or additional guidance as needed.
Important Reminders
- Graduate students are placed at a recommended salary point based on their academic-semester GSR experience. Faculty PIs may appoint students at a higher salary point; however, this will become the student’s new ongoing salary point.
- Winter and summer terms are not tied to fee remissions.
- Winter GSR appointments have a maximum of 50% FTE.
- Summer GSR appointments have a maximum of 100% FTE.
- If a PI does not have sufficient funding to support a 25% or 50% GSR appointment, they are responsible for supplementing funding so the student maintains a combined appointment of at least 25% or up to 50%. These changes were ratified on December 23, 2022.
